Request a session

Ask for interpreting or captioning for your own class, meeting, or event.

Session requests

If you can request sessions, your dashboard shows a red Request Session button. An administrator must approve each request before SignGlasses looks for practitioners.

Creating sessions without approval

If you can create sessions without approval, your dashboard shows a blue Add Session button. Fill in the form as described here. The session is created without waiting for approval.

If your dashboard shows neither button, ask your administrator for the permission.

Start the request

  1. Select Request Session on your dashboard.
  2. Enter a Title.
  3. Select a Category.
  4. Under Preferred practitioner experience, select at least one option.
  5. Enter the Date, the Start time, and the End time.

If your organization has only one category, the form shows a single list labeled Category in place of steps 3 and 4.

The form starts in the time zone on your profile. If the session happens in another time zone, select the time zone name below the times, choose that time zone, and enter the local time there.

For a class or meeting that repeats, turn on Repeats below the times and set the schedule, as described in Repeat a session.

Choose the service

  1. Under Services, select Add a practitioner.
  2. Choose the service, such as ASL, CART, or TYPEWELL.
  3. Select Add another practitioner and repeat if you need more than one.

Scheduling your own practitioners

In the practitioner list, keep SG Practitioner for SignGlasses to find someone, or choose one of your organization’s own practitioners.

Onsite practitioners

For each practitioner, choose Remote or Onsite in the Location list. For an onsite practitioner, enter the City, State, and Street address.

Add attendees

Under Attendees, select your name and the name of anyone else who needs to sign in to SignGlasses for the session. Only sessions you attend appear on your dashboard and calendar, so add yourself if you are attending.

Cost centers

The session is billed to the cost center on the first attendee’s profile. If the form reports a missing cost center when you save, contact your administrator.

Set the platform

Meetings on SignGlasses

Choose where the session runs. Audio platform is where the practitioner receives audio. Practitioner platform is where the practitioner provides services. Both start on SignGlasses. Select External for any part that runs on another platform.

If the session runs on Zoom, Google Meet, Microsoft Teams, or another external platform, enter the meeting link in External platform URL. If you do not have the link yet, leave it blank. SignGlasses emails you reminders 24 hours and 1 hour before the session while the link is still missing.

Add prep materials and notes

Under Attachments, select Upload file to add anything that helps the practitioners prepare, such as presentation slides, discussion documents, or agendas.

The notes are optional:

  • Public description is for general information about the session. Practitioners and attendees can read it.
  • Add more notes adds a note for the attendee, for the practitioner, or for the SignGlasses Customer Care Team. Attendees see the attendee note, and practitioners see the practitioner note. Your administrators can read both. The Customer Care Team note is for SignGlasses only, and is a good place for preferred practitioners or contact details.

Send the request

Select Request session. To see your requests that are waiting for approval, select Requested Sessions in the sidebar.

When your administrator approves a request, you receive an email, and the session appears on your dashboard and calendar if you are an attendee. If they reject it, you receive an email saying it was denied.
